Job Summary

Provide secretarial support and organizational aid for outreach, financial aid, and the Military Resource Center, particularly supporting the Dean of Outreach and Financial Aid. Responsibilities include management of budgets, correspondence, scheduling, and engaging with students and the public.

Required Qualifications

  • Associate Degree or equivalent (60 college credit hours); or High School diploma or equivalent and two years of clerical and general office experience
  • Excellent communication (verbal and written) and interpersonal skills
  • Excellent public relations skills
  • Strong planning, problem-solving, and organizational skills
  • Computer literacy to include Microsoft Office Suite with proficiency in Word, Excel, and Outlook
  • Knowledge of general office equipment, including copier, fax machine, and multi-line telephone
  • Ability to maintain confidentiality
  • Ability to multitask and meet deadlines
  • Ability to develop and maintain positive relationships
  • Demonstrate sensitivity to the needs of educationally and economically disadvantaged students

Preferred Qualifications

  • Associate’s degree
  • Experience working with departmental budgets
  • Experience working in an educational setting

Essential Functions

  • Coordinate the Dean’s activities, including management of a complex calendar, travel arrangements, and associated logistics
  • Maintain department calendar
  • Assist the Dean with general office duties, including receptionist, telephone communication, and public contact
  • Coordinate the Slough Scholarship application and selection process
  • Manage and generate purchase orders for the departments, coordinating the purchase of office supplies and capital outlay equipment
  • Maintain and oversee the inventory process
  • Communicate and assist with oversight of budgets
  • Oversee and coordinate departments’ payroll and personnel records, including timesheets, transmittals, leave sheets
  • Coordinate staff travel arrangements
  • Prepare agendas and maintain minutes for meetings as requested
  • Assist with downloads of financial aid and records
  • Assist with International (F1 Visa) student admissions as directed by the Dean
  • Maintain a notary certification
  • Compose correspondence; develop, review and edit presentations and documentation
  • Utilize various computer applications and software packages; enter, update, correct, and extract information; maintain and generate reports from a database or network system
  • Oversee upkeep of office equipment, inventory, and supplies
  • Other duties as assigned

Physical Demands

  • Must be able to remain in a stationary position 50% of the time
  • Must be able to sit or stand for long periods of time
  • The person in this position needs to move to other locations on campus occasionally
  • This position may require occasional travel for training, meetings, and events both in and out of town
  • Repetitive use of a keyboard at a workstation
  • Use of manual dexterity
  • Must be able to bend, reach overhead, and lift/move up to 25 pounds
  • The person in this position frequently communicates with others; must be able to exchange accurate information
  • Duties indoors and some outdoors
  • Ability to work extended hours and attend Midland College or community events
